Job Description
SouthCoast is seeking a Property Management Assistant who will support a team of Property Managers with administrative and communications tasks relating to Property Management. The Property Management Assistant will primarily work from home.
Primary Responsibilities
- Attend property management meetings and other meetings as requested or needed, via video- or teleconference
- Complete, track and mail required letters
- Assist in setting up new vendors by preparing Contracts and obtaining required documentation
- Help obtain quotes/bids when needed on projects
- Seek and vet new vendors when needed/requested
- Report roof leaks & set up various maintenance calls as needed
- Assist with Tenant requests and resolution as assigned by Property Managers
- Assist as needed with completion of manual billing adjustments, write off Forms, check requests, and work orders
- Assist as needed with Expense Re-classes, Reforecasts, Variances and Budgets
- Provide electronic filing and document management support
- Send memos to tenants as needed for advanced notice of annual inspections and other required visits
- Set up necessary inspections as required by new lease prior to turn over as requested
- Create, manage, and continually update portfolio spreadsheets to track tenants, vendors, HVAC units, roof warranties, sprinkler inspections, backflow inspections, fire alarm, and hydrant inspections
- Serve as a main point of contact when Property Managers are off (vacation, etc.)
- Assist with other projects as requested and as needed
Qualifications
- Proficiency in Microsoft Office, including Word, Excel, Outlook, and Adobe
- Ability to self-audit and verify the accuracy of one’s own work product
- Ability to read and interpret Leases
- Ability to learn new programs quickly and troubleshoot common issues
- Ability to multitask and change gears quickly
- Ability to pay attention to details, recognize needs and problem solve
- Ability to exercise good judgment in selecting methods for obtaining solutions
- Ability to collaborate well with others and across all teams
- Strong organizational skills
- Ability to work independently
