Job Description

SouthCoast is seeking a Real Estate Administrative Assistant who will support the company’s Director of Asset Management and General Counsel with substantive, administrative and communications tasks relating to Property Management. The Real Estate Administrative Assistant will primarily work from home.

Primary Responsibilities

  • Track various monthly Property Management data across multiple platforms
  • Track and report on status of pending matters in areas of risk management, contract negotiations, and tenant litigation
  • Collaborate with and coordinate information requests and deliveries to other departments of the company, including Accounting and Acquisitions
  • Attend monthly credit meetings and report back on action needed in each Property Manager portfolio
  • Identify and track Property Management metrics and trends
  • Provide word processing and proofreading support for legal documents
  • Assist in preparing and sending formal correspondence, including legal notices and escrow packages
  • Provide filing and document management support
  • Assist with various projects on an as needed basis
  • Serve as main point of contact when the Director of Asset Management or General Counsel are out of the office or traveling

Qualifications

  • Proficiency in Microsoft Office, including Word, Excel and Outlook, and Adobe
  • Ability to learn new programs quickly and troubleshoot common issues
  • Ability to multitask and change gears quickly
  • Word processing and proofreading skills
  • Ability to draft and respond to professional communications
  • Ability to pay attention to details and recognize needs
  • Ability to exercise good judgment in selecting methods for obtaining solutions
  • Ability to collaborate well with others
  • Strong project management/tracking skills
  • Experience performing the above tasks in a professional environment
  • Strong organizational skills
  • Ability to work independently
  • Ability to self-audit and verify the accuracy of one’s own work product
  • Familiarity with commercial real estate processes a plus
  • Experience working in a law office or commercial real estate office or with contract administration a plus
